Customer Records

How to add a new customer record

  1. Go to Accounts > Sales Ledger > Customer
  2. Click the NEW button
  3. Enter a new Account Code
  4. Enter the Account Name
  5. Select an Account Type
  6. Click Next 
  7. Select a Price Numberto set customer’s currency
  8. Click Finishto add customer record using initial setup defaults

Customer Account Types

The concept of customer account type is fundamental to the way Focus identifies who the customer is. It predetermines the destination account for all sales to them and helps to identify customers when running reports and searches. Focus identifies three broad categories:

  • Trade Customers
  • Non-Trade Customers
  • Prospects

Under these broad categories you are able to classify your customers under names (which you make up) such as Local trade, export trade, mail order, schools, subscribers, etc. To setup account type codes

  1. Go to Maintenance> Preferences
  2. Select Defaults & Codes
  3. Click Account Types
  4. To add a new account type Click here to add a new line, then enter the following details
    • Category
    • Code
    • Description
    • Sales nominal code
    • For subscription Only flag
    • Order must be paid flag
    • Apply postage flag
    • First Line Charge
    • Other Line Charges
    • Maximum Charge
    • Apply Per Qty flag

To assign customer account type code

  1. Go to Accounts > Sales Ledger > Customer
  2. Search for customer in the Account Code box
  3. On the Account Type panel, select one of Trade, Non-Trade or Prospect.
  4. Click on the drop-down arrow to select from a list of account type codes.
  5. Click Savebutton to finish.

How to edit existing customer record

  1. Go to Accounts > Sales Ledger > Customer
  2. Search for customer in the Account Code box
  3. Edit record
  4. Click Save button to finish

How to delete a customer record

  1. Go to Accounts > Sales Ledger > Customer
  2. Search for customer in the Account Code box
  3. Click the Delete button

NOTE: Deleting a customer code that has been used for transactions will affect the integrity of your data and the consistency of reports. Hence, Focus Advanced Publishing software will not delete a customer record with outstanding orders or transactions. If you must delete a customer record, you must first move the associated orders and transactions.

Move a customer’s sales transactions

  1. Go to Maintenance > Data Utilities
  2. Tick and expand the number 4 box beside Move Sales Transactions from branch Office to head office.
  3. Then enter the customer code you wish to move from in the Branch Account Codebox, and the code you wish to move to in the Head Office Account Code box
  4. Click OK.

Move a customer’s sales orders

  1. Click the drop-down arrow underneath Accounts > Sales Order Processing > Orders to selectTransfer Orders
  2. Enter the customer code you wish to delete in the From Old Account Codebox, and the new code in the To New Account Code
  3. Click OK.

How to attach customer record to a Sales Rep

  1. Go to Accounts > Sales Ledger > Customer
  2. Search for customer in the Account Code box
  3. Go to the General page
  4. Tick the Is Represented By box and select a Rep name from the drop-down box
  5. If the desired Sales Rep is not in the drop-down list, click the Add button to add a new Sales Rep record.
  6. Enter the Code and Description then click OK
  7. Click Save button to finish

How to display Customer Profile

  1. Go to Accounts > Sales Ledger > Profile
  2. Search for customer in the Account box
  3. The Transactions tab displays the selected customer’s outstanding transactions by default

Under the option icon, untick the “Outstanding Transactions Only” option to view the full transactions history.

How to View/Print GDPR Compliance Data Portability Sheet

  1. Go to Accounts > Sales Ledger > Customer
  2. Search for product in the Product Code box
  3. Click the Print Preview icon or press SHIFT+ALT+P to view the GDPR Compliance Data Portability Sheet
  4. Click the Print icon or press CTRL+P to print the GDPR Compliance Data Portability Sheet
