Who we are
Focus IT Services Limited, herein after referred to as "Focus" or "We", was established in 1997, registered in England. Registration Number: 3363242.

We provide complete, fully integrated accounting and management software solution for managing a publishing and book distribution business.

Focus uses in-house staff and resellers to perform its duties to its customers and to provide technical support. Throughout this document, references to Focus also refer to resellers of Focus when they are providing their services to Focus.

By Focus customer we refer to any body, company or individual, who has the right to use Focus software with a support contract by way of paying an annual licence fee to Focus for that package.
Brief
We take privacy very seriously. We’ve updated our privacy policy (Policy) to ensure that we communicate to you, in the clearest way possible, how we treat personal information. We encourage you to read this Policy carefully.

Personal data collected and held by Focus about a customer are restricted to those necessary to perform the duties under the Focus support contract, such as contact details and Focus Software package or service supplied. These data are held on Focus private servers and computers.

We will ensure that your personal information is treated with the utmost respect and in accordance with EU General Data Protection Regulation (GDPR) on the protection of individuals with regard to processing of personal data and on the free movement of such data.

Website
The Focus website has no access to Focus customers nor to their Focus software data, beyond a cursory list of customers. The website can be used to download versions of the Focus software by selecting the indicated link.
Focus Software Security
Focus customers install Focus software on their own hardware systems or cloud servers, and use the Focus software to manage their data which are held on a standard Microsoft SQL database.

Focus customers apply their own policies in terms of general access to their computers. Focus further provides two levels of security for access to its software on the customer computers, including the use of a user ID and password.

Focus software communicates with other software systems and services such as HMRC for VAT, and tools such as ONIX, EDI, Microsoft Excel, Outlook and Word. The exported data is formatted as required by those systems and services. Such exported data is not part of the Focus system and its security is not the responsibility of Focus.

Focus software includes facility to pass VAT data to/from HMRC. This connection is triggered by Focus customers using the installed Focus software, and are in total control of the connection and transmission.
Customer Data Held by Focus
From time to time, a Focus customer may send information to Focus about their business in form of reports or backup of the data. The decision on whether to send the data is therefore with the customer.

Focus warrants that the customer's data will be used solely to provide support to the customer under the support contract and will not be passed to a third party without consent (by paper or email).

When such data is no longer required to provide support under the contract, it is erased from Focus computers.

If a Focus customer discontinues Focus support, all information held by Focus about the customer will be erased from the Focus computers within three months, or earlier if requested by the customer. The exception to this is the ex-customer will remain in Focus own accounts for its book-keeping purposes, as allowed under the GDPR regulations.
Changes to the Privacy Policy
We keep this Privacy Policy under review and it may change without notice. It was last amended on 21 March 2019.
